To continue supporting this growth and reduce operational load, the CEO is seeking a highly capable Executive Assistant to manage client communications, project workflows, and essential administrative operations.

Position Summary

The Executive Assistant will serve as a direct partner to the CEO and VP of Operations, managing internal operations and external communication to maximize leadership impact. The ideal candidate is proactive, organized, and thrives in high-accountability environments. You’ll manage projects, oversee client workflows, and drive efficiency in a fast-paced setting.

Key Responsibilities

  • Manage CEO’s email inbox and respond, flag, or delegate communications as needed
  • Own client-facing coordination including scheduling, follow-ups, and information requests
  • Send engagement agreements, manage payment processes, and track deliverables
  • Maintain project oversight in Slack and ClickUp, ensuring timelines are met
  • Support migration from Google Sheets to ClickUp for improved project visibility
  • Coordinate across departments and external stakeholders
  • Participate in meetings and assist with action item tracking
  • Proactively identify areas to improve efficiency and simplify processes
  • Coordinate and prepare materials for internal and external meetings.
  • Draft, edit, and proofread reports, presentations, emails, and other communications.
  • Book travel arrangements (flights, accommodations, ground transportation) and create detailed itineraries.
  • Ensure executive is prepared for meetings and travel engagements with necessary materials and briefing notes.
  • Maintain filing systems, contact databases, and digital records.
  • Support the onboarding of new employees and coordination of team events.

Required Qualifications

  • 3+ years of experience as an Executive Assistant or Project Manager
  • Demonstrated strength in client communication and stakeholder management
  • Highly organized with the ability to manage competing priorities and tight deadlines
  • Proficient in Gmail, Slack, and Box.com
  • Familiarity with project and CRM tools such as HubSpot, ClickUp, or Keap/Infusionsoft
  • Resourceful, self-directed, and solutions-oriented
  • Must be available to work full-time aligned to U.S. Mountain Time Zone hours

Preferred Qualifications

  • Experience supporting C-level executives in a service-based business
  • Previous exposure to legal, valuation, financial services, or consulting environments
  • Prior use of HubSpot and ClickUp a plus
